How to check-in Registrants with event•hapily

event•hapily has a couple of different ways you can utilize to check-in registrants for your events/sessions. Let's go over each of the options and how they work!

event•hapily offers multiple flexible check-in options to track attendance at your in-person or virtual events—directly within HubSpot. Whether you're using QR codes, manual updates, or HubSpot workflows, each method ensures registrants are marked as “Attended” and event data stays accurate.


Once a registrant is checked in via any method, the following updates occur automatically:

  • The hapily registrant to Event/Session association is updated with the "Attended" label.

  • The Contact to Event/Session association is updated with the "Attended" label.

  • The hapily registrant "Status" property is set to "Attended".

  • Any Event/Session properties tracking attendance counts are updated to reflect the new check-in.

Using the event•hapily Check-In Module:

With the event•hapily check-in module:

  • Staff can search for registrants by name or email using built-in fields.

  • Click the “Check-In” button to immediately mark a registrant as Attended.

  • The system updates the registrant’s status across all relevant HubSpot records.

HubSpot CMS Enterprise, you can dynamically configure the module once and have it work across all events without needing to rebuild pages.

Using the event•hapily QR Codes:

event•hapily automatically generates a unique QR code for every registrant:

  • The QR code is stored on the hapily Registrant "QR Code" property.

  • Staff can scan QR codes using any internet-connected device with a camera.

  • After the first scan, the system prompts staff to enter a secure event PIN to prevent unauthorized check-ins. The PIN only needs to be entered once per device.

  • Once scanned, the registrant is instantly marked as Attended in HubSpot.

Using the hapily registrant property "Status":

The hapily registrant record includes a “Status” property:

  • You can manually set this property to “Attended” to register a check-in.

  • Once updated, event•hapily automatically handles all backend processes—no workflows or manual syncing required.

⚙️ event•hapily includes an auto-enabled workflow named "event•hapily webhook | Registrant Updated" that powers this process.

Using the Update Registrant workflow action:

  • Use the "Update Registrant" workflow action to programmatically update a registrant’s status to "Attended".
